Start with the coordinator’s day

A volunteer programme depends on more than a contact list. Availability, interests, consent, access needs and last-minute changes all affect the work. Look for repeated checking and chasing before introducing another channel or dashboard.

Connect the useful information

A practical first step could bring approved contact details, role requirements and event information into one view. Flag uncertain records for a person to review. Keep a clear distinction between preparing a message and deciding who should receive it.

Protect the relationship

Automation should support a respectful conversation. Make it easy to update preferences, ask for help or speak to a coordinator. Measure the time spent preparing an event and resolving problems, as well as how volunteers experience the process.

YOUR NEXT CONVERSATION

Take one useful step.

  • Map one event from sign-up to follow-up.
  • Identify the handover that causes the most chasing.
  • Test whether a change helps both coordinators and volunteers.
